🆕Spread classifications via clipboard: Protect data when copy-pasting between documents

Automatically apply data classifications and related policy restrictions when users copy and paste content via the clipboard.

Why spread data classifications via the clipboard

When you enable spreading data classifications via the clipboard, any content copied from a protected document will maintain its data classifications and policy restrictions when pasted into another document.

This ensures that content remains protected, even when users copy it to different applications or documents. This way, users cannot bypass policies simply by copying content elsewhere.

How it works:

  • A user copies text from a classified document via the clipboard.
  • The user pastes the text into a different document or application.
  • The pasted content carries the original data classifications to the new document or application.
  • All policies that protected the original document will now apply to the new document or application.

Example: A user is working with a classified file with blocked printing in Notepad. They copy some text from the document and paste it into Microsoft Word. When they try to print from Word, the printing will also be blocked, because the data classifications and policy restrictions followed the content to the new application.

Only texts longer than 160 characters are checked for sensitive content. Shorter text snippets don't trigger protection policies.

 

 

How to enable spreading data classifications via the clipboard

Spreading via the clipboard can be enabled for individual data classifications:

  1. Go to the Data Classification section.
  2. Create a new data classification or edit an existing one.
  3. In Settings > Spread via clipboard, toggle the switch to enable spreading for this data classification.
  4. Click Save.

Once enabled, all documents with this data classification will spread the classification through the clipboard.
